RECEPTIONIST/ADMINISTRATIVE ASSISTANT

General Description

This is a full-time position primarily to serve as a responsible 'front desk' receptionist and administrative assistant performing a variety of administrative and clerical tasks at our local Roswell office. We have a relatively small, friendly staff and general comfortable working atmosphere. Dress is business casual and the starting wage for this position is $15.00 to $20.00/hr, depending on education and experience. The receptionist/administrative assistant will report to the President/Principal Engineer but supports the entire office and works with various other professional and technical staff.


Responsibilities include helping manage the day-to-day operations by answering and screening phone calls, performing light bookkeeping and data entry, maintaining basic employee records, and assisting with daily general office administrative activities. This position is often the first company point of contact for potential clients, vendors and other people who call or visit the office. It requires an individual with good business and customer service skills who is outgoing, polite and friendly. The receptionist should be an effective communicator that speaks clearly and is personable and welcoming when greeting visitors or answering incoming calls. Administrative and clerical responsibilities include providing information to callers and screening nuisance calls, posting weekly employee time, light bookkeeping, routine copying, filing, maintaining office supplies and taking care of the reception and office common office areas in a clean and organized manner. Sometimes, the position requires managing sensitive and personal information and discretion and respect for confidentiality is essential.


Minimal physical work is necessary, but the employee must be able sit and/or stand for periods of time while either on the phone and/or performing administrative duties. Typing, using a mouse, photocopying, or scanning documents, assembling/binding reports and filing require associated sitting, standing, walking, bending and stooping. Periodic out of the office travel to banks, post office, FedEx, UPS, etc. will also be necessary.

Required Experience/Skills

  • Proficiency in English language and must be able to communicate effectively both verbally and in writing.
  • A familiarity with basic office computer work and competence in using MS Office and Adobe Acrobat.
  • Previous experience with QuickBooks is a plus but not a requirement for employment and training will be provided

Required Experience/Skills (cont.)

  • Working knowledge of computers, printers, copy machines, binders, and other office equipment.
  • Good time management and organizational skills, and the ability to prioritize work.
  • Must have the ability to follow instructions and work well with others in a team orientated environment.
  • Possess a valid Georgia Driver's License.
  • High School education required and college degree a bonus.

  • Previous human resource experience is not required but would be an added strength considered for compensation.

Job Responsibilities

  • Must be dependable, responsible and report to work on time. Normal business hours are 8:00 AM to 5:00 PM, Monday through Friday.
  • Answer and screen phone calls. take messages and transfer calls, as necessary.
  • Greet and direct visitors to the office.
  • Perform QuickBooks posting of weekly employee time records for payroll and project billing.
  • Perform QuickBooks data entry of vendor and consultant bills, employee expense reports and maintain up to date tracking of accounts payable.
  • Maintain project, accounting, vendor, and employment records filing systems.
  • Manage inventory of office supplies and place orders, as needed.
  • Assist in the preparation of proposals, technical reports, and other correspondence, as needed.
  • Maintain clean and organized reception, copy room and other common office areas.

Perform other administrative duties assigned.
